Search Mercer County Cases

Start your Mercer County case search with the court named on the paperwork. Circuit cases, plus some public Family Court information, live in the statewide Circuit portal. Magistrate matters run through a separate search, and city ordinance cases stay with each municipal court. If you know the case number, search by it. Otherwise, narrow a name search by court and date. A Mercer County case search can surface docket entries and hearing data, though access varies by court and record type. For validation or certified copies, the proper clerk is always the source.

Searching Cases by Name

For a public Circuit case, open the West Virginia Public Access Search System. Registration costs nothing. Enter a party name. Then filter by Mercer County, case type, status, and a paired date range. Attorney searches work too. One caution applies: a broad name alone may pull up the wrong person. Before trusting a match, compare the court, case number, filing date, party role, and case caption.

  1. Identify whether the matter belongs to Circuit, Family, Magistrate, municipal, or federal court.
  2. Open WVPASS for Circuit cases or MCRSearch for Magistrate cases. Accept the required login or disclaimer gate.
  3. Enter the last name and then the first name. Add Mercer County, case type, status, and both ends of a date range when available.
  4. Open the closest match and compare case number, court, filing date, parties, charge or case type, and disposition.
  5. Confirm an uncertain result with the clerk who holds that file.

The search fields differ between the two state systems.

Mercer County Search Decision Tree

Mercer County has no single county-only database, so begin with jurisdiction. WVPASS covers publicly available Circuit Court cases filed from July 1, 1999 forward. The Circuit Clerk also keeps Circuit and Family records. MCRSearch handles Magistrate matters. These include misdemeanors, preliminary felony proceedings, traffic, and small civil claims. Document images are not provided there.

  • Use WVPASS for public Mercer Circuit civil and criminal cases.
  • Use MCRSearch for Mercer Magistrate cases.
  • Use the named city court for a municipal ordinance ticket.
  • Use PACER for a Southern District of West Virginia federal case.
  • Call the proper clerk for an old, missing, restricted, or unclear record.

Cases can move between levels. A felony may start as a Magistrate preliminary file and later get a separate Circuit number. The same happens with a municipal or Magistrate appeal. When the history shows a transfer or appeal, search both court levels in Mercer County.

Searching by Case Number

The safest Mercer County case-search key is an exact case number. WVPASS accepts both full and short number structures. These are built from county, court, year, case type, sequence, and extension components. The live option lists show the exact valid format. Never invent missing segments, and do not assume a municipal number follows the Circuit pattern.

The Magistrate Payment System posts examples like ##-M##X-##### and M##M-##########. Those describe its exact-match payment fields only. A payment identifier is not a full docket. MCRSearch takes the actual Magistrate case number. Princeton's city portal can search an exact citation number.

Copy the number straight from the notice, citation, order, or filed document. Keep the punctuation and leading zeros. If the portal rejects it, call with the number in hand. Try Julie Ball's Circuit Clerk office. Or try Karmin Richmond's Magistrate Clerk office.

Mercer County MCRSearch Limits

The Magistrate Case Record Search opens through a disclaimer and continuation gate. Type a first name, last name, or case number. It may return up to 30 records. Results can include birthdate, filing date, charge, disposition, and an indicator that documents exist. The complaint, citation, warrant, order, or judgment image stays off-screen. The official search screen shows the gate. A Mercer County searcher must pass it before entering any fields.

Mercer County case search gate for Magistrate Court records

That gate points to the portal's key limit: MCRSearch is a locator, nothing more. For a copy, contact Karmin Richmond at 120 Scott Street, Suite 103, Princeton, or call 304-431-7115. Magistrate photocopies run $0.25 per page under Administrative Rule 11.

What a Case Search Returns

A Mercer County search result is really an index into the court record. WVPASS can show more than MCRSearch, including parties, attorneys, docket entries, hearings, motions, payments, and available documents. Still, browsing a case for free does not make every underlying document free or public.

Case NumberThe court-assigned identifier used for search, filing, and copy requests.
Style / PartiesThe formal caption and public party roles.
Case TypeThe court's broad category, not necessarily the full claim or charge text.
Filed DateThe date the clerk registered the matter.
StatusA current label that must be read with the latest order or disposition.
Docket EntriesThe event history, which is not the same as each filed document.

Viewing or downloading documents through WVPASS costs $0.25 per page plus card processing. A wrong-case purchase is not refunded, and the download is not certified. Check the result first, then request certified material from the Circuit Clerk when official proof matters.

Mercer County Free and Paid Access

WVPASS draws a line between free case-detail browsing and paid document access. Registration and searches cost nothing. The charge kicks in only when a public file is selected for viewing or download. Purchase history allows another download for 30 days. But the product stays an uncertified copy.

Before purchase: Match the Mercer County case number, parties, filing date, and document title because WVPASS does not refund a wrong-case selection.

Counter access did not disappear after CourtPLUS and the Vault digitized much of the Circuit and Family file flow. Self-represented parties may still file paper documents with the clerk, and sealed documents must be paper-filed. Online access is one channel. It is not the entire custody system.

Statewide vs County Case Search

The phrase "Mercer County portal" can mislead. WVPASS and MCRSearch are statewide tools filtered to Mercer, while clerk counters serve as local access points. Municipal courts run locally and do not automatically feed city ordinance matters into either state result set.

Princeton offers a municipal search and payment tool. Bluefield publishes clerk and payment information but no confirmed public docket search. Athens, Bramwell, and Matoaka all require local contact. The court name printed on the ticket decides where to look.

Mercer County Municipal Search Modes

Princeton's Tyler portal gives you six ways to run a local docket search. You can search by citation number, driver's license number with state, Social Security number with date of birth, license plate with state, first and last name plus date of birth, or business name. Pick the most precise identifier you have that carries the least sensitive detail. The citation number works best of all.

The portal lists Princeton Municipal Court at 800 Bee Street. It is reachable at 304-487-5073. Weekday office hours run from 8:00 a.m. to 4:30 p.m. It can track down a violation or a way to pay. One caution applies, though. A payment confirmation is not a certified disposition. And a local municipal case never becomes a WVPASS record just because you paid it.

If the citation points to Mercer Magistrate Court instead, use MCRSearch. And if a city case was appealed to Circuit Court, check WVPASS too for the later Circuit file.

Mercer County Clerk Validation

Search engines only take you so far. When a Mercer County court docket result seems incomplete, dated, or required for official use, the clerk adds the validation layer. Julie Ball's Circuit Clerk office holds Circuit and Family electronic files, indexes, orders, and docket material. Karmin Richmond's office keeps the Magistrate records. Each municipal clerk controls that city's ordinance files.

Requesting a copy directly? Give the case number, the court, the exact document title and date, whether you want plain or certified form, a delivery address, and the number of copies. Ask about page count, certification, postage, payment, timing, and any authorization the office requires. Mercer County sets no fixed certification fee and publishes no public copy-request form, so call before mailing anything.

You can also walk in. Magistrate clerk offices offer statewide MCRSearch terminals, and CourtPLUS materials keep public clerk-office access open for nonsealed Circuit and Family records.

Mercer County No-Result Checklist

A blank screen is not the final word on a Mercer County case lookup. The matter may sit in another court entirely, or predate WVPASS coverage. It could be municipal, federal, sealed, juvenile, or confidential. Maybe it has not been imaged yet. Or the name was entered under a different spelling. Work through each route before concluding the case does not exist.

  1. Check the exact number and name spelling, then add or remove narrow filters.
  2. Search the other state court level: WVPASS versus MCRSearch.
  3. Read the citation for a Princeton, Bluefield, Athens, Bramwell, or Matoaka municipal court.
  4. Use PACER when the number or heading identifies federal court.
  5. Call the correct clerk and ask about older paper records, public-terminal access, or a specific copy request.

West Virginia Code §29B-1-3 can open a formal public-record request path to the actual holder of the file. It cannot override a seal, Family Court confidentiality, or juvenile-record restrictions. Those limits stand regardless of how the request is framed.

Access and Restricted Cases

WVPASS leaves out sealed filings and juvenile cases. Public coverage begins with qualifying Circuit cases filed from July 1, 1999. Family Court Rule 6 splits the file. Orders and indexes stay public. But pleadings, recordings, exhibits, transcripts, and other documents generally remain confidential unless authorized status or a court order says otherwise.

Juvenile records carry separate protection. The authority is West Virginia Code §49-5-103 and the Rules of Juvenile Procedure. Trial Court Rule 10.03 can also limit civil access. A record may still be missing. Raise it with the clerk rather than hammering away with broad docket searches.

Authorized parties should ask what identification, standing, consent, or order the clerk needs. The clerk can walk you through the access procedure. What the clerk cannot do is grant rights withheld by a statute, rule, or sealing order.
